Privacy Policy
Who we are
CobraLedger is a suite of software products operated by Prevail-IT Solutions USA Inc ("we", "us"). This policy covers the cobraledger.com websites, the CobraLedger Renovation Simulator application (renoestimator.cobraledger.com), and the CobraLedger Campaigner application (campaigner.cobraledger.com — see also its in-app product privacy policy). What we collect
- Account information — email address, name, and optionally phone and address, provided when you create or update an account.
- Content you submit — property photos and descriptions you upload for estimations, and the reports generated from them.
- Usage and billing records — your estimation history, credit balance and ledger, and purchase records. Card payments are processed by Square; we never receive or store your card number.
- Contact messages — messages sent through our contact forms are processed by Formspree and delivered to our mailbox.
- Technical data — standard server logs (IP address, browser type, pages requested) for security and operations. Our marketing pages may use advertising pixels (e.g., Meta, Google) to measure ad performance.
How we use it
- To provide the service: run AI estimations on your photos and descriptions, generate and store your reports, and manage your credits.
- To operate your account: verification emails, password resets, billing confirmations, and service notices.
- To send marketing communications (email/SMS) where you have consented via our Terms & Conditions — you can opt out at any time via the unsubscribe link, replying STOP, or emailing support.
- To measure and improve the product and our advertising.
AI processing
Estimations are generated by artificial-intelligence services hosted on Microsoft Azure. Your photos and descriptions are transmitted to these services to produce your report and are not used by us to train AI models.
Google user data (CobraLedger Campaigner)
If you connect a Gmail or Google Workspace mailbox to CobraLedger Campaigner, the application accesses it through the Gmail API with two permissions only: send (deliver the campaign emails you compose) and read-only (detect bounced emails and replies). For detection we read message headers; full message content is retrieved transiently only to parse a bounce report or to display a single reply to you on demand, and is never stored. CobraLedger Campaigner's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is never sold, never used for advertising, and never used to train AI or ML models. Disconnecting a mailbox deletes its stored token; you can also revoke access at any time at myaccount.google.com/permissions.
Retention
Estimation reports and history are retained for 90 days, after which reports, searches, and related data are permanently deleted. Account, credit-ledger, and purchase records are kept while your account exists and as required for financial record-keeping.
Sharing
We do not sell your personal information. We share data only with the service providers that run the product — Microsoft Azure (hosting, storage, AI, email), Square (payments), and Formspree (contact forms) — and where required by law.
Cookies
The application uses a session cookie to keep you signed in. Marketing pages may set advertising cookies/pixels for campaign measurement; your browser settings and platform ad preferences control these.
Your choices
- Access, correct, or delete your account data: email support@cobraledger.com.
- Opt out of marketing at any time (transactional service emails continue while you hold an account).
- Download your reports before the 90-day retention window ends.
Children
The service is for business use and not directed to children under 16; we do not knowingly collect their data.
Changes
We may update this policy; the "last updated" date above reflects the current version. Material changes will be announced in the application.
